At a glance

One team, three ways to get started. Share a registration link, enter people's details yourself or upload a CSV. Choose the method that suits your team; all three add people to your organisation in DocRide.

Getting your people into the right business workspace is the first step towards keeping team details and competence records organised. This guide explains how to add users in DocRide, what they receive after registration and how to manage their membership afterwards.

Before you start

  1. Sign in and select the correct business. Check the organisation name before adding anyone, especially if you work with more than one business.
  2. Open your team directory. Select Add Users to open the Add team members page.
  3. Check that you have permission. The Main Admin can add standard users. Site Managers need the Main Admin to enable permission to add users for their assigned site.

Have an email address available for each person, and use an address they can access. If site-selection options appear, choose the appropriate sites before creating an invitation or adding people. Site Managers must select from the sites they are authorised to manage.

A job role is different from an account role

The standard Add Users flow creates User memberships. A job label such as Carpenter or Supervisor describes the person's work; it does not give them administrator access. Adding Admins (site managers) is a separate flow for the Main Admin on a Multi-Site plan.

Choose the easiest way for your team

Option 2: Enter people's details yourself

Use this option when you are adding one person or a small group and already have their contact details.

  1. Select Enter their details, or expand Enter people's details below the invitation section.
  2. Enter the person's name and email address. Email is required. Phone, Employee ID and Tags are optional in this admin form.
  3. Select + Add another person for each additional member. Check each email address carefully.
  4. Choose any required site assignments, then select Add people & send emails.
  5. Open View your team to confirm that the expected people have been added.

The Employee ID field is available for your own internal reference in the admin form. People using the shared self-registration link do not need to provide an Employee ID.

Option 3: Import a team from a CSV

For a larger team, prepare the details once in a spreadsheet and upload them together.

  1. Expand Upload a list of people and select Download CSV template.
  2. Keep the template's column headings. Include full_name and email; the optional columns are phone, employee_id and tags.
  3. Enter one person per row. Check for missing email addresses, typing errors and duplicate entries.
  4. Save the file as CSV, choose any required site assignments and select the file in DocRide.
  5. Select Import people & send emails, then check the team directory against your list.

Keep the file simple

A CSV is a plain-text spreadsheet format. Upload the downloaded template after completing it, rather than an Excel workbook or a PDF. Leave optional cells blank if you do not have the information.

Some rows can succeed while others need correction. Check which people already appear in the directory before retrying unsuccessful entries.

What happens after registration?

DocRide sends a welcome email from info@docride.co.uk. The sign-in details depend on whether the person already has a DocRide account.

New to DocRide

The welcome email includes their login email address, generated password and sign-in link. Ask them to check their inbox and spam or junk folder.

Already has an account

DocRide uses the existing account for that email address. Their existing password stays the same; it is not replaced with a new password.

After signing in, the person can select the relevant organisation. What they can access depends on their membership and the permissions assigned to them.

If an email does not arrive, confirm the address with the person and check whether their registration appears in the team directory. They can use the password-reset option on the login page if they cannot access their existing account.

Keep your team details current

The team directory gives you a place to review members, their account roles and contact details. The Main Admin can edit member details, restrict access or remove someone from the organisation.

  • Check occupational roles. Keep job roles relevant to the work each person carries out.
  • Review competence. Open a person's avatar to view their competence information. Registration alone does not establish that they are competent for a task.
  • Restrict access when needed. This temporarily blocks access to the organisation and can be lifted by the Main Admin.
  • Remove people who leave. This ends their business membership and hides them from that business's active team lists and user dropdowns. Their account and historical records are retained.

Before you finish

  • The correct people appear in the correct business.
  • Each person can access their registered email address.
  • Account roles and site assignments match their responsibilities.
  • People know how to sign in and who to contact for help.

Frequently asked questions

Can I add someone who already uses DocRide?

Yes. If they do not have an active membership of this business, DocRide can use their existing account and email address to create one. Their password and memberships of other businesses are unchanged.

If the email is already registered in the same organisation, the Add Users flow will flag it instead of creating a duplicate active membership. Check the existing entry in your team directory first.

Can a removed person register again?

Yes. They can use the same email address. DocRide reuses their account and creates a fresh membership for the business. Historical records remain preserved, and old permissions and site assignments are not automatically restored.

Does sharing a link add people immediately?

No. Each person must open the link and successfully submit the registration form before they appear in the team. Simply copying or sending the invitation does not create their membership.

What if an invitation link has expired?

Return to Add team members, create a new invitation link and share it with the people who still need to register. Links expire after 24 hours.
